Privacy policy

minicalendar is operated by minisquare. This policy explains what personal information we collect when you use our scheduling service, how we use it, and your rights regarding that information.

1. Information we collect

When you create an account, we collect your name and email address.

When you connect a calendar or video conferencing account (such as Google Calendar, Outlook, Zoom, or Microsoft Teams), we receive the OAuth access tokens and calendar data needed to check your availability and create meeting events. We do not read or store the content of your calendar events beyond what is required to detect scheduling conflicts.

When someone books a meeting with you, we collect the booker's name, email address, and any answers they provide to your booking form questions.

We automatically collect standard server logs including IP addresses, browser type, and pages visited. We use these for security and to improve the service.

2. How we use your information

We use your information to:

  • Provide and operate the minicalendar service
  • Check your real-time calendar availability when someone visits your booking page
  • Create calendar events and send confirmation emails when a booking is made
  • Generate video conferencing links via your connected integrations
  • Send you transactional emails (booking confirmations, reminders, account notifications)
  • Respond to support requests
  • Improve and develop the service

We do not sell your personal information or use it for advertising purposes.

3. Information sharing

We share your information only in the following circumstances:

Third-party integrations. When you connect Zoom, Google Meet, Microsoft Teams, Google Calendar, or Outlook, data is shared with those providers as necessary to provide the service. Their respective privacy policies govern how they handle your data.

Service providers. We use trusted third-party services to help us operate minicalendar (for example, cloud hosting and email delivery). These providers process data only on our behalf and under our instructions.

Legal requirements. We may disclose information if required by law or to protect the rights, property, or safety of minisquare, our users, or the public.

We do not share your information with any other third parties without your explicit consent.

4. Data retention

We retain your account data for as long as your account is active. If you delete your account, we will delete your personal information within 30 days, except where we are required to retain it for legal or compliance purposes.

Booking records (including booker names and email addresses) are retained for 12 months by default. You can delete individual bookings at any time from your account.

5. Cookies

We use essential cookies to keep you signed in and to maintain your session. We do not use advertising or tracking cookies.

6. Your rights

Depending on where you live, you may have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate information
  • Request deletion of your information
  • Export your data in a portable format
  • Withdraw consent for processing where consent is the legal basis

7. Security

We use industry-standard security practices including encryption in transit (TLS) and at rest, and access controls to protect your data. No method of transmission over the internet is completely secure, however, and we cannot guarantee absolute security.

8. Changes to this policy

We may update this privacy policy from time to time. When we make material changes, we will notify you by email or by displaying a notice in the application. Continued use of minicalendar after such changes constitutes your acceptance of the updated policy.
